Several variables commonly shift the estimate: shared mailboxes that require UMBs but were not included in the initial object count, accounts added to scope after you already purchased licensing, UMB needs for resource mailboxes such as room and equipment accounts, and license term alignment issues if the migration extends beyond the initial 12-month UMB term.

As a concrete example, in a 300-account migration where the initial estimate was based on licensed users, identifying 40 shared mailboxes later increases UMB cost by 13 percent even though the intended migration scope has not changed. That variance should be anticipated and budgeted from the start by doing a full object audit in the source tenant.
