SharePoint Migration in 2019 vs What It Requires Today

Do you scope a SharePoint Online Migration the same way you would have five years ago?

When I did my first SharePoint migration with ShareGate, we talked a lot about file structure and inheritance of permissions. We were moving legacy document libraries to SharePoint Online site collections. We validated that metadata was correctly transferred and confirmed that the site hierarchy matched the documentation. This was the scope.

This scope still exists. It is now buried under a governance layer which did not carry the same weight as in 2019.

Modern SharePoint Online migrations involve a discussion about sensitivity labels and external sharing governance. They also require Teams-integrated document library and tenant-totenant mapping of content when the source and target are two separate M365 tenants. ShareGate does a good job with the content migration. What it can’t do is make decisions about governance that the business hasn’t made yet.

The infrastructure alignment requirement is unchanged, but the complexity has increased. In earlier programs, creating Group Policy Objects (GPOs) to manage file-share migration to Azure Files constituted a pre-migration requirement. Today, the equivalent involves conditional policy scoping, SharePoint policy reconciliation between source tenant and destination tenant, and sensitivity labels publishing in destination tenant before content is received.

Engineers who have performed both Exchange Online mailbox migrations with BitTitan MigrationWiz, and SharePoint content migrations with ShareGate, understand something that specialists who only focus on a single workload often miss: the decisions made on one workload can create constraints on the second. Mailbox cutover timing affects SharePoint external sharing behavior. The order of identity migration affects SharePoint permission resolution. The workloads are not separate projects.
